Sicily meeting – PM3
We talked about the workshops that were given by the students. It would have been nice to see more than one. Time we spend waiting could have been used to do more than one workshop. The partners all hope that at our next meeting the limited time we have with each other will be fully used. We also talked about the costs of this trip. Partners need a specified bill for the transport and the guides. Finances are limited please be clear about the costs in advance! Children don’t have to join the teachers on all the trips when they visit a country. This way we can reduce the costs and it is fun and educational for the children to spend a day at school in the host country. At school they can do activities such as handicrafts, cooking and dancing so they learn something about the culture of the host country. The coördinators should be present on every trip so that they are well informed about the project.
Don’t forget to upload the articles about the project meeting on your part of the website. This can also be a photo from a local newspaper or magazine. Use E-twinning, all participants are jointly responsible. If you have any queries please ask Nataša from Croatia. Use Twinspace and Facebook, some partners haven’t done this yet.
Mobility tool: After each journey all participants need to justify the trip, e.g. expenses etc. Sotiris will do this as soon as possible for the meeting in Greece.
Agreed to do:
Because all partners would have liked to see more of the workshops it is agreed that each partner will put instructions on the website with pictures and a short movie of the activity. Partners can use this to do the workshop with their own students.
Spain will make sure that there will be more time for the workshops next meeting.
Check your e-mail regularly, and answer immediately don’t wait a month before answering. We need good communication to prepare, well in advance, for the meetings and to make a success of the project.
A6: Next time the books will be send to the partners in PDF. The books are too heavy for hand luggage. All the partners will receive a pdf version and they can print it themselves.
A8: Every partner will make a recording of the list of words in their own language and translated to English. The list of words we have to use will be send by e-mail. We all agreed to use the voices of our students for these recordings.
A9: Sicily (the guest country) will make a dvd about their culture and about the activities of this week. Make sure the dvd also looks nice on the outside because they will be part of the exhibition at the schools.

REVIEW OF THE DISCUSSIONS/DECISIONS AT 3RD P.M. IN SICILY
Activities of 1st project year
A6. Spring/Summer celebrations/traditions book.
We have exchanged our printed books at the Sicilian meeting and It was also agreed that each ready book should be emailed in PDF form to Julie at our coordinating school to be uploaded on the website at specific part for each country.
We have also agreed that similar work like the autumn/winter celebrations books that will be elaborated during the 2nd and 3rd years, will have to be sent in PDF through emailing from each partner to all the rest.
A8. Vocabularies of every day words/phrases.
The Spanish school will create and send a list with everyday words/phrases to partners who will translate it in their own language. A table with the words/phrases in all languages will be formed. All partners will record the English words/phrases and the translation into their own language. Voices of students will be used in recordings that will be emailed to partners to be uploaded on website.
A9. Presenting the cultural heritages of Sicily on the 3rd P.M.
A DVD with photos/videos from the presentation of the Sicilian/Italian local culture with traditional songs, games, music, meals and also L/T activity with language and dancing lesson must be constructed from the host school during and distributed to all partners on the 4th P.M. in Spain.
Learning/Teaching activity in Sicily-Italian language lesson: As mentioned the DVD of A9 activity should include parts of the L/T activity.
Workshop in Sicily
It will be useful if the presentations of the workshops taken place in Sicily could be uploaded on the Italian part of the website. The Sicilian hosts with the cooperation of the partners who have presented their workshops can take care of this task.
1. All partners should upload on website, articles of each project meeting that have been published in local newspapers, magazines, e-news, Twinspace, Facebook, e.t.c.
2. Activities/Results of project should be uploaded from all partners during the project in Twinspace and Facebook (closed group and personal), e.t.c.
As agreed the description of each P.M for the Mobility Tool should be the same for all partners so the countries that host each P.M. should writte the text about the meeting and email it to partners. The description, as it is on the mobility tool, should include information on the purpose of the meeting, main agenda items, the outcome and the participants involved. The descriptions of the P.M in Edessa and Canicati should be emailed to partners before the Spanish meeting.
We are still facing problems to open the project’s website and to upload our work on special part for our schools. When these problems are solved from the coordinating school, part of the Project Management amount could be used from each partner school to hire an ICT specialist if there isn’t any teacher at our school for this task, in order to upload the work from elaborated activities and P.M that have already been practiced and off course the ones that will follow. All work will be uploaded from each partner school on its own part of the website and Natasha, our Croatian partner is willing to help partners in uploading their work.
Project Meetings of 2nd project year 2018-19
-The P.M in Spain has been agreed to take place from 5th to 9th Nov. 2018. A DVD from the A10 activity: ”Presenting the cultural heritages of Spain on the 4th P.M.” with photos/videos from the presentation of the Spanish local culture with traditional songs, games, music, meals and also L/T activity with language and dancing lesson, will be created from the host school during the meeting week and distributed to all partners on the 5th P.M. in Cyprus.
The P.M in Cyprus from 8th to 12th April 2019 and to Sardinia from 20th to 25th May 2019.
-As stated in official Erasmus+ application the L/T activities are taking place during the same week with the P.M. weeks at partner schools, so if two teachers are traveling to partners one of them is responsible for the P.M and the other teacher for the L/T activity and for the pupils visiting for the L/T activity.
-It is recommended that the project coordinators of each partner school should participate in all Project Meetings taking place in partner hosting schools.
-Information about payments (buses, cultural visits, hotels, e.t.c.) that have to be made during each P.M. and also about any other issue concerning the P.M. should be sent at least two weeks before the P.M will take place.
-For the cultural visits and guided tours the hosting school has to arrange a bus for the visiting teachers, pupils and hosting pupils and teachers. The rest students of the hosting school is not recommended to participate to these visits and tours due the confusion and the delays that are naturally caused to the organization and realization of the visits.
-The total amount that each visiting partner has to pay for the cultural visits (bus fees, museums fees and guided tours) must stay as low as possible and it should be divided among the visiting teachers. The visiting pupils shouldn’t pay for these expenses. If the tours are expensive at some partner countries, the hosting schools can use a part of the approved Project Management budget to cover the off excess amount.
-The hosting schools must try to arrange suitable and not expensive accommodation (50-60 euros/double room) for guest teachers, close to city center and the hosting school if possible. The criteria for families that host the visiting pupils are familiar to everyone.
The project is financed by the European Union within the ERASMUS + programme, Action KA2 – cooperation of schools
